Systems are a great way to streamline your business, from small daily tasks to onboarding new employees. Starting from scratch, on the other hand, can be daunting. There are so many different methods, apps, and contradictory advice available!

Don’t be concerned; simply take a deep breath and concentrate on one thing at a time. We’ll walk you through the process and give you some pointers to help you succeed.

Start sooner rather than later

Creating systems entails laying solid foundations for your company. When things get hectic or life gets complicated, systems are the fuel that keeps your business running. That is why you must get started as soon as possible. The more time you devote to it now, the less of a headache you will have later.

Starting a systemisation project may appear to be a daunting task, but it is much easier than you think. What are you currently working on? How do you go about completing that task? That’s great; now break it down and make a checklist out of it. That’s all. Simply begin documenting your work. Anything you do regularly can be systematised.

Thinking about programs is another excellent way to get started. A lack of systems is sometimes a tragedy of indecision. We often waste time and energy worrying rather than acting. Remember! You can change it if it doesn’t work.

Tip: Set a decision deadline for yourself. Give yourself two weeks to research, ask around, and ponder if you don’t know what app or program to use. The most important thing is to make a decision and stick with it.

Act as if you already have a team.

Even if you believe you will never be able to hire staff, give yourself the opportunity and space to grow. You’re doing an excellent job, but there will come a time when you’ll require the assistance of another person.

That is why we advise you to act as if you already have staff! This entails documenting your work processes, such as creating checklists and notes on clients, as if you were compiling handover notes. This not only saves time when onboarding new employees, but it also saves time having to remember details.

If you already have employees, involve them in the process. It will be easier for you or an employee to take time off if everyone is on top of their notes and checklists.

Tip: When working on a client’s project, make sure to take notes on details and changes as you go. You won’t have to struggle to remember anything later on. Staff will know exactly where to look for information and what information they need to record if you use a template

Keep working on it 

Nothing is ever perfect the first time. You will discover better ways to do things as you continue to work on your systems. Your company will expand as well. The system you use for your business now may not be appropriate for what it will be in five years, and that’s fine.

Be aware of changes in your business, the market, your clients’ needs, and the way you work. As your company grows, you may be able to offer additional services or even take on a different role. As a result, it is critical to devote time to adjusting your systems and considering what else can be systemised.

Tip: Check your systems regularly. Consider how they will benefit you and your clients. Then you’ll be able to see where you need to improve and what works for you.

In summary, the key is to not become overwhelmed, to start small, and to keep chipping away at your systems. Act as if you’re writing handover notes, and involve your team in the documentation process. Remember that systemising is a long-term project with endless opportunities for improvement.
